

Alfold Tennis Club Rules

The Club shall be called “Alfold Tennis Club”.

The Club shall be located at the Recreation Ground, Dunsfold Road,
Alfold, Surrey GU6 8JB.

The object for the Club will be to promote and provide facilities
for the playing of tennis, and to arrange matches and club tournaments
for paid-up members.

A “Member” is anyone who is paid-up for their appropriate membership
category.

Junior members (under 16 years old at 1st May) must have a
sponsoring adult parent or guardian; this adult can be either a full
playing member or a non-paying member.

The Club shall be managed by a Committee consisting of the
President, Vice-President, Chairman, Vice-Chairman, Secretary,
Treasurer, Minutes Secretary, Coaching Co-ordinator, Match Secretary,
Social Secretary, Club Captain, and one junior member, all of whom shall
be elected at the Annual General Meeting for a period of one year. A
Junior Development Committee (three seniors), will report to the
Committee. The Management Committee shall have power to co-opt
additional members during the year.

The AGM shall be held in November each year, 14 days notice being
given to all members. A quorum at an AGM is to consist of 8 members.

The financial year shall be 1st October to 30th September. Annual
accounts are to be audited by an accountant appointed by the Committee.

An extraordinary general meeting may be called at any time by at
least five members, by applying in writing to the Chairman, giving at
least 14 days notice.

Committee meetings are to be held at least every 3 months.

The Club may be affiliated to third-party organizations at the
discretion of the Committee.

Subscriptions are to be paid by 1st May each year, based on fees
agreed at the previous AGM. Visitors may play as guests on only three
occasions per year and must be accompanied by a full playing member.

A Bank account will be in operation, maintained by the Club
Treasurer, and interest accounts may be opened to hold Club funds from
time to time as deemed necessary by the Committee.

A reserve fund shall be set up for maintenance and repairs of the
courts and for the purchase of any items authorized by the Committee.

Club nights and daytime Club sessions will be made available on days
as authorized by the Committee.

For safety reasons, proper tennis shoes are to be worn on the courts
at all times.

It is the duty of any members to inspect the court surface before
any match to check that it is in a good, safe condition.

A First Aid Kit is to be provided in the tennis changing room in the
Clubhouse. All members are to make sure they take a key to the Clubhouse
whenever they play tennis to ensure that they can access the First Aid
Kit if needed. Any accidents must be notified to the Chairman or
Secretary, whose names and telephone numbers can be found on the outside
notice board.

The Club will provide tennis balls for matches, tournaments, special
playing events and club sessions.

The Committee has the right to refuse any applicant membership and
in exceptional circumstances the Committee has the right to withdraw
membership from any member.

Amendments to the Club Rules may only be made at an AGM or
extraordinary general meeting.

Advance bookings for courts can be made by any member in the court
diary, but note that any inter-club matches or any Club coaching
sessions shall always take precedence even if not written down in the
court diary.
